Setting up automatic invoicing rules

In this video, I will show you how to set up client invoicing rules as a super user or administrator. By accessing the client's profile and navigating to the invoices tab, you can easily manage the invoicing rules. I will guide you through the process of creating and sending invoices instantly, as well as setting up rules based on appointment frequency or month. You can also choose when to send the invoice and when it is due. Additionally, I will explain how to personalize the invoice email, include discounts, and add Medicare details if applicable. Once the rules are set up, they will be automatically applied to each appointment for the client. Watch the video for a step-by-step demonstration. Per appointment | Send Invoice:

  • On booking confirmed = invoice will be sent when you book appointments
  • X days before = Invoice will be sent X days before the appointment is scheduled
  • Invoices are sent around 8am on the day of an appointment
  • If you book an appointment on Thursday for it to take place on Friday and the auto invoicing is set to send an invoice 3 days before an appointment, it should be picked up and sent the next day at 8am
  • If a client has an appointment on Monday and the auto invoicing is set for 1 day before it will be sent Sunday

Per appointment | Due date

  • The due date is from the date of the invoice being sent
  • If an invoice is sent on 7th May for an appointment on 10th May, the due date of the invoice is X days from the 7th of May (the day the invoice was sent, not the date of the appointment)

Automatic invoicing is picked up whether it is a single booking or a recurring appointment.
